Shopify warehouse management, from paid order to fulfillment with tracking

OptiWMS connects to your Shopify store when you install the OptiWMS app and approve the access it asks for. Paid orders arrive as sales orders ready to pick, the store's products import with their variants, and stock goes back to the Shopify locations you map. When an order ships, OptiWMS marks it fulfilled in Shopify with the tracking number.

What syncs between OptiWMS and Shopify

Orders
A customer pays and Shopify notifies OptiWMS, which creates the sales order linked to the store and the Shopify order, shown on Sales orders as Pending.
Products
Connecting the store imports every active variant. A variant links to the OptiWMS product with the same SKU and otherwise becomes a new product. Later changes in Shopify arrive within seconds.
Product details
While linked, a product's name, barcode, weight, price, image and options come from Shopify and are read-only here; bins, stock, cost, dimensions and lot or serial tracking stay editable.
Stock
Each mapped Shopify location receives the units available in its warehouse, minus units claimed by unpicked orders, minus your buffer: 10 on the shelf, 2 claimed and a buffer of 3 shows 5.
Fulfillments
When the order ships, OptiWMS creates the fulfillment in Shopify with the tracking number, and updates it if the label is replaced later.

How it works in the warehouse

  1. A paid Shopify order lands on Sales orders as Pending and joins the pick queue with orders from your other stores.

  2. Each variant is its own pick line. Size, color and barcode come from Shopify, and the picker's phone shows the bin to scan.

  3. At the pack station the packer scans each item, weighs the parcel and seals it. The label comes from your shipping platform, through the order's Shopify shipping rate mapping.

  4. The label prints at the bench through the OptiWMS app, and OptiWMS then marks the order fulfilled in Shopify with the tracking number.

  5. If the order is fulfilled in Shopify instead, by you or another app, OptiWMS records it: a packed order closes with that tracking, and anything unclear goes on the Exceptions worklist.

Setting it up

  1. Install the OptiWMS app in your Shopify store from the link we send you, and approve the access it asks for. There are no keys or passwords to copy. If you already have an OptiWMS account, the same install connects the store to it.

  2. Shopify sends you to OptiWMS. Sign in and confirm the store; the page says Store connected.

  3. Choose your OptiWMS plan on the plan page Shopify shows for the app, any time during the 14-day trial. It is billed on your Shopify invoice once the trial ends.

  4. Go to Integrations > Shopify locations, choose the warehouse for each location you ship from, and press Save mappings. Stock sync starts with this step.

  5. Under Integrations > Map shipping options, map each Shopify shipping rate, such as Express Post, to a carrier service on your shipping platform.

  6. Check the Catalog block under the store on Official integrations: variants that landed on a placeholder SKU are listed there to rename in Shopify.

Shopify questions

Do I need an API key to connect Shopify?

No. You install the OptiWMS app and approve the access it asks for; OptiWMS sets up the order notifications, imports the products and keeps its access current.

What does OptiWMS change in my Shopify store?

OptiWMS reads orders, products, locations and returns. It sets inventory levels at the locations you map and creates fulfillments with tracking, and leaves your products, orders and locations as they are.

Can I connect more than one Shopify store?

Yes. Install the app from each store. Each gets its own row under Connected, with its own location mappings, stock buffer and catalog settings. A product can link to several stores, for example an Australian and a US store selling the same SKU, and the most recent change in either store wins. One plan covers them all; each further store picks the free Additional store option on Shopify's plan page.

How is OptiWMS billed when I sell on Shopify?

On your Shopify invoice, with your other apps. You choose the plan on the page Shopify shows for OptiWMS, in US dollars, after the 14-day trial, and change or cancel it there. Prices are on our pricing page.

What happens to an order for a SKU OptiWMS has not imported yet?

OptiWMS asks Shopify for that variant, creates the product and accepts the order, even with product sync switched off. A variant without a usable SKU gets a placeholder SKU and a note on the product to rename it.

What does Reconnect needed mean?

Shopify stopped accepting OptiWMS's access to the store, for example after an uninstall. Open OptiWMS from the Apps section of the store's Shopify admin to approve it again; held-back stock updates and shipped confirmations are then sent.
